Organisational admin settings

The Organization Admin feature lets you manage your entire school or institution in one place. You can add teachers and students, create classes, apply your school branding, and keep all users verified and safe inside your organization.


This feature is designed for school leaders, administrators, and designated school admins.


Who can access Organization Admin

• School admins assigned to an organization

• Users with an active school or institutional subscription


Teachers without admin rights cannot access these settings.



How to access Organization Admin

As a school admin:

  1. Open your profile in Redmenta
  2. Click Manage organization
  3. The Organization Admin interface opens in a new view


This is currently accessed from the profile page.



What you can manage as an Organization Admin


General settings

• Rename your school or organization

• Upload a school logo

• Set a background color for the logo

• The school name and logo appear in the top menu for teachers and students


Educational team. Teachers


You can add teachers in two ways.


• Search for existing Redmenta users by email or name

• Add them to your organization


Bulk import with Excel

• Download the Excel template

• Required fields:

– First name

– Last name

– Email address

– Class name, minimum 3 characters


• One teacher can belong to multiple classes, separated by commas

• Upload the file and validate the data before import


Important

• Class name is mandatory during teacher import

• Teachers cannot be imported without a class


Students

You can import students using the same Excel-based process.

• Download the student template

• Fill in first name, last name, email, and class name

• Upload and validate the file


What happens during student import

• Classes are created automatically based on class names

• Students are linked to the organization

• Students are added to the correct classes


Safe environment

When students are imported through Organization Admin:

• They become verified users

• They cannot switch their role to teacher

• User search can be limited to your school in the future


This helps prevent role misuse and keeps students visible only inside your institution.


Classes

• Classes are created automatically during teacher or student import

• The same class name links teachers and students together

• You do not need to create classes separately


Order does not matter

• You can import teachers first or students first

• You can re-upload the same Excel file multiple times

• Existing users are updated, not duplicated


Password setup options during import

You can choose how passwords are handled.


• Send email to users to set their own password


Alternative options

• Set one default password for all users

• Generate secure random passwords without sending emails


Security note

• Users are required to change their password after first login

• Default passwords are less secure and not recommended unless required by school policy


Verified user status

All users imported through Organization Admin:

• Are marked as verified

• Cannot change their account type

• Skip the standard onboarding flow

Their school, role, and subscription are already set.




Branding for schools


Standard school branding includes:

• School logo in the menu

• Optional background color for logo visibility


Advanced white-label branding and variants are available only for special partner or publisher use cases.



Common questions

Can a student change their role to teacher?

No. Imported users are verified and cannot change roles.


Do I need to import teachers before students?

No. Order does not matter.


What happens if I upload the same file again?

The system updates existing users and class assignments.


Can teachers exist without classes?

Currently, teachers must be linked to at least one class during import.
